NE AI Lab Schedule Assessment

Our process

The Process Assessment

A hands-on review of how your business works across departments, people, systems, and recurring tasks.

The Process Assessment is the first step. We interview key employees, review workflows, map tasks, document systems, identify bottlenecks, and score potential AI opportunities. The result is a clear operational map and a practical implementation plan — useful whether or not you ever implement AI.

Eight phases, in order.

Business Intake

What we do

Sit down with the owner or leadership to learn the business: departments, headcount, tools, goals, and current frustrations.

What we look for

Where leadership already senses waste, what has been tried before, and which departments feel the most friction.

What you receive

A Business Intake Summary — a plain-English overview of the business as we understand it.

Department Interviews

What we do

Talk with managers and employees in each department — the people who actually do the work, at their desks where possible.

What we look for

The recurring tasks, the workarounds, the "this takes forever" moments, and the difference between the official process and the real one.

What you receive

Interview notes rolled into each Department Workflow Map — nothing employees say is quoted without context.

Workflow Mapping

What we do

Draw each recurring process end to end: who starts it, what triggers it, which steps follow, and where it finishes.

What we look for

Handoffs between people and departments, approval loops, waiting time, and steps that exist only out of habit.

What you receive

Department Workflow Maps and a Company Operating Map showing how work moves start to finish.

Task Interaction Mapping

What we do

Zoom in on individual roles: the specific tasks each person repeats and the systems they touch to do them.

What we look for

Re-keying between systems, repeated searching, copy-paste chains, and tasks that interrupt higher-value work.

What you receive

Task Interaction Maps showing what employees do, which systems they use, and where repetitive work happens.

System Dependency Mapping

What we do

Inventory the software, folders, spreadsheets, shared drives, and platforms your team depends on — and how data moves between them.

What we look for

Duplicate data entry, information islands, single points of failure, and tools that quietly stopped earning their seat.

What you receive

A System Dependency Map of everything your operation runs on.

Bottleneck Analysis

What we do

Cross-reference the maps to pinpoint where time is lost, where errors originate, and where work piles up.

What we look for

Queues, rework, chase-downs, unclear ownership, and the handful of steps that slow everything downstream.

What you receive

A Bottleneck Analysis — a clear, ranked list of where the friction actually is.

AI Opportunity Scoring

What we do

Score each candidate workflow for value, risk, complexity, employee impact, and AI readiness. Honestly — including "don't automate this."

What we look for

High-volume repetitive work with low risk and clear rules — and, just as important, places where a simple process fix beats any AI tool.

What you receive

An AI Opportunity Matrix: where AI makes sense, where traditional automation is better, and where no automation should be used.

Implementation Roadmap

What we do

Turn the scoring into a practical, sequenced plan: what to build first, what to skip, and what to revisit later.

What we look for

Early wins that build trust, dependencies between projects, and the right pace for your team's capacity.

What you receive

An Implementation Roadmap — plus an Employee Training Guide when tools are built.

Your side

  • Access to key employees for interviews
  • List of core departments
  • Overview of current tools and systems
  • Examples of repetitive tasks or pain points
  • Permission to observe or review workflows
  • Optional access to documents or systems, depending on scope
